Connecting your Zoom account
Link your own Zoom account so virtual appointments get a real Zoom meeting automatically. A one-time sign-in from Integrations, then disconnect any time.
Basic Zoom is different from the wearable integrations on this page. It isn’t something your client connects on their phone, it’s a connection you make for your own Zoom account. Once it’s linked, Protocol can create a real Zoom meeting for a virtual appointment and hand your client the join link automatically.
Each coach connects their own account. On a team plan, every coach links Zoom individually, and there’s no single shared connection for the whole team.
Zoom is one of two ways to get a video link. The other is Google Calendar sync with Meet link generation switched on. You don’t need both, and you don’t need either: a virtual appointment works perfectly well with no link at all, or with a link you paste in yourself. How to connect
- Open Integrations > Apps. The Add Zoom meeting prompt on a virtual appointment links straight there, and the same Zoom card also sits at the bottom of Scheduling > Config, under Calendar & meetings. (In the classic dashboard it’s Vault → Integrations.)
- Find the Zoom card and click Connect (Connect Zoom in the classic dashboard).
- You’re sent to Zoom to sign in and approve access. This is Zoom’s own login, so your Zoom password is never seen by Protocol.
- You’re returned to Integrations, and the card now shows Connected with your Zoom email (Connected as {your Zoom email} in the classic dashboard).
What it’s for
A connected Zoom account is what lets Protocol create a real Zoom meeting when you turn on Add Zoom meeting on a virtual appointment. See Video meetings on appointments. Nothing on this page schedules a meeting by itself; it authorizes Protocol to create and manage meetings on your behalf, and nothing more.
If you also use Google Meet
Nothing breaks, and nothing gets replaced. An appointment carries one video link, and whichever provider got there first keeps it:
- An appointment that already has a Google Meet link keeps it. Protocol will not schedule a Zoom meeting over the top of it, because that link is the one already sitting in your client’s inbox. The Add Zoom meeting toggle isn’t offered on an appointment that already has a link.
- An appointment that has a Zoom meeting keeps that. Meet link generation skips any appointment that already has a link.
- When a client books you through your public booking page, Protocol picks one for you: Google Meet if you generate Meet links, Zoom otherwise. So connecting Zoom never changes the link on a booking page that was already working.
If you want to move an appointment from one provider to the other, clear the existing link on the appointment first, then set the one you want.
What Protocol stores
Your Zoom sign-in details never reach Protocol. What we hold is the access Zoom hands back when you authorize, and it is encrypted in our database, never sent to a browser or a phone, and destroyed when you disconnect.
Disconnecting
Click Disconnect on the Zoom card any time. Appointments that already have a Zoom meeting keep their existing join link; you, and anyone booking with you, just won’t be able to add new Zoom meetings until you reconnect. Your bookable events stay on your public booking page either way.
