Onboarding a client
Four ways to fill a client's profiles: send them a form, paste a meeting transcript, paste your own notes, or build a client straight from a form submission.
A client’s fitness, health, nutrition and behavioural profiles are what every plan you write is grounded in. Onboarding is how those profiles get filled, and you have four ways to start it. They all end in the same place: the AI reads whatever it was given and writes the profiles for you.
Running it again rewrites those four profiles rather than adding to them, which is the point of the card and also the thing to be careful about. Read Good to know before a second run on somebody whose profiles you have already corrected by hand.
You will find them on the client record, under Personal › Actions, in the Re-onboarding card.
Ask the client: Form Onboarding
Sends your onboarding form to the client, optionally together with the app download link and a login code. The form offered is your default intake questionnaire from the Forms list (any form on the Intake & Onboarding tab can be picked). In the app the client steps through it one section at a time. When they submit it, their answers fill the profiles automatically and any mapped measurements they gave you (weight, height, waist, starting photos, and the rest) land in Tracking as their first progress entry.
Copy Link does the same thing without the email: you pick the form, copy its link, and send it however you already talk to that client.
Bring your own text: Transcript and Custom Instructions
Not every client fills in a form, and plenty of them told you everything already, on a call or in a chat. These two take that text instead.
- Transcript Onboarding is for a recorded call or meeting.
- Custom Instructions is for anything else: your own notes, a message thread you pasted, a questionnaire they filled somewhere else.
Pick one, fill in its step, then Start Re-onboarding. Copy Link is the exception: it puts the link on your clipboard instead of starting anything.
Both read the text and fill in the same four profiles, plus contact details when they are in there. Units are converted for you, so pounds and feet are stored as kilograms and centimetres and then shown back in whichever system your own account is set to.
While it is working, the record is covered by an Automatic Onboarding In Progress notice with a single Go back button, so nobody edits a profile the AI is halfway through rewriting. It usually takes under a minute. Leave and come back; the profiles refresh on their own when it finishes.
Build a client from a form submission
Submissions that arrive from a public or external form (a consultation request on your site, a lead magnet, a questionnaire you shared as a link) have nobody attached to them yet. You do not have to retype them.
Open the submission, then use Onboard a client:
- Create a new client builds the client from the submission and links them to you, exactly like adding them by hand. Emailing them the app download link and a login code is optional, so nothing goes out unless you ask for it.
- Use an existing client attaches the submission to someone already on your roster.
Either way the answers are then treated as that client’s initial questionnaire: measurements go to Tracking, the profiles get filled, and the submission shows up on the client’s record.
Good to know
- It only writes what it actually found. A field the text says nothing about is left as it was, so onboarding a half-finished client later fills the gaps rather than clearing them. Anything it does find, it will overwrite, so a second run replaces what the first one wrote.
- Everything it writes is editable. Read it before your first session and correct anything that reads wrong; it is a first draft of a client, not a verdict.
- The AI work counts toward your monthly AI usage, like progress reports and program building do.
- Sending an onboarding form needs the client to have an email on file.
